Your QuickBooks Online renewal went up again in August. Your bookkeeper still spends hours each month categorizing transactions that look exactly like last month's. Meanwhile, a newer platform called Digits says its AI keeps your books current around the clock. For a founder or finance lead deciding whether to stay or switch, the question isn't which software is newer. The question is which ledger fits the way your business actually runs.
Certum Solutions has worked in QuickBooks since 2005 and has been an Intuit Elite Partner since 2012. Certum Solutions is also a Digits Certified Partner. Our team, led by Founder and CEO Katherine "Katie" Bunschoten, sets up, cleans up, and maintains books on both platforms for businesses across the country. We partner with both companies, so this comparison is built on fit, not on which product we would rather sell.
This guide compares Digits and QuickBooks Online on pricing, AI capability, features, integrations, and migration, including an honest look at who should not use each platform. This guide is written for U.S.-based small and mid-sized business owners, CEOs, and controllers evaluating accounting software in 2026.
Digits vs QuickBooks Online: The Quick Answer
Digits is the better fit for U.S.-based service businesses and startups that work only in U.S. dollars, don't track inventory, and want AI to handle daily categorization and reconciliation. QuickBooks Online is the better fit for businesses that track inventory, collect sales tax in multiple states, bill in foreign currencies, run payroll inside their accounting system, or depend on a large app ecosystem.

What Is Digits? An AI-Native General Ledger
Digits is an AI-native accounting platform built around its own general ledger. Digits categorizes transactions, reconciles bank and credit card accounts, and drafts financial statements continuously, instead of waiting for someone to work through a month-end checklist.
Digits launched as a reporting tool in 2022 that read data from QuickBooks. In March 2025, Digits released its own general ledger, so businesses can now keep their official books in Digits rather than using Digits as a dashboard on top of QuickBooks.
Digits plans include AI bookkeeping and reconciliation, invoicing, bill pay, live dashboards, a natural-language assistant called Ask Digits, department and location tracking, and connections to more than 12,000 banks, credit cards, and payroll providers. Digits also offers API access for teams that want to query their financials from other tools, including AI assistants.
Digits currently serves U.S. businesses only and works in U.S. dollars only. See how Certum sets up and supports Digits AI accounting →
What Is QuickBooks Online in 2026?
QuickBooks Online is Intuit's cloud accounting platform and the general ledger most U.S. CPAs, bookkeepers, and lenders already expect to see. QuickBooks Online comes in four main plans: Simple Start, Essentials, Plus, and Advanced, with inventory tracking available on Plus and Advanced.
QuickBooks Online now includes AI agents. Intuit rolled out the Accounting, Payments, Customer, and Finance agents in July 2025 and added natural-language commands under the Intuit Intelligence name in late 2025. The Accounting Agent categorizes transactions, assists with reconciliation, and flags anomalies. The Finance Agent, which handles forecasting and KPI analysis, is available on QuickBooks Online Advanced only.
QuickBooks Online plans cap users by tier: Essentials allows 3 users, Plus allows 5, and Advanced allows 25. Compare every QuickBooks Online plan side by side →

The real cost difference shows up in your total setup, not the base subscription. A four-person team illustrates it: QuickBooks Online Essentials caps at three users, so that team needs Plus at $140 per month, while Digits Essentials at $65 per month has no user limit on its published plan.

AI Compared: A Native AI Ledger vs. AI Agents Added to QuickBooks
The biggest difference between Digits and QuickBooks Online is where the AI sits. Digits built its ledger around automation, so categorization and reconciliation run continuously on every plan. QuickBooks Online added AI agents to an established ledger, and the most capable agents are reserved for higher-priced plans.
What Digits AI Handles
Categorizing transactions as they post, using your history and rules
Reconciling bank and card accounts continuously
Drafting financial statements and live dashboards
Answering plain-English questions about your numbers through Ask Digits
What QuickBooks Online AI Agents Handle
Accounting Agent: categorization, reconciliation help, and anomaly flags
Payments Agent: invoice follow-up and getting paid faster
Customer Agent: lead and follow-up management
Finance Agent (Advanced only): forecasting, KPI analysis, and scenario planning
AI in either platform still needs an accountant's review. Intuit's own guidance tells accounting professionals to check the agents' work, and Digits builds firm-level review controls for the same reason. AI speeds up the first draft of your books; a senior accountant signs off on the version you hand to a lender, investor, or the IRS. Every Certum bookkeeping client gets that monthly senior-level review. Monthly bookkeeping in Digits or QuickBooks →
Where Digits Wins
Digits wins when automation depth and simple, predictable pricing matter more than feature breadth.
Automation on every plan: continuous AI categorization and reconciliation without upgrading to a top tier
No per-user pricing: growing service teams don't pay more for each new seat on published plans
Real-time visibility: live dashboards instead of waiting for month-end reports
Modern interface and API access: built for teams that want to query financials from other tools
Where QuickBooks Online Still Wins
QuickBooks Online wins when your operations are more complex than transactions in and out of a bank account.
Inventory: quantity and cost tracking on Plus and Advanced
Sales tax: built-in calculation and tracking across jurisdictions
Multi-currency: billing and paying in foreign currencies
Payroll and time tracking: native options inside the same ecosystem
App ecosystem: connectors for e-commerce, construction, field service, and inventory systems such as Cin7
Familiarity: CPAs, lenders, and auditors already know the file
Upgrade path: a direct route to Intuit Enterprise Suite when you add entities
Digits and QuickBooks Online Platform Profiles

No per-user fees on published plans
Live dashboards and Ask Digits
One-time import of QuickBooks Online history at setup
Watch-Outs:
U.S. dollars only; no multi-currency
No inventory tracking or built-in sales tax
Smaller app ecosystem and shorter track record as a general ledger (since 2025)
Few independent user reviews so far
Who Should NOT Use Digits: businesses that hold inventory, sell across states with sales tax obligations, invoice in foreign currencies, or rely on industry-specific QuickBooks add-ons such as construction job costing tools.
AI Features (2026): autonomous categorization and reconciliation, anomaly detection, draft financials, Ask Digits natural-language assistant
Payroll: connects to outside payroll providers; payroll is not run inside Digits
Integrations: 12,000+ bank, card, and payroll connections; open API
Certum Take: Digits is the most convincing AI-native ledger we've worked in for clean, service-based books. Digits is not a fit for inventory or multi-currency operations, and we tell clients that on the first call.
QuickBooks Online
Starting Price: $38/month (Simple Start); Essentials $85; Plus $140; Advanced $340
Best For: small and mid-sized businesses with inventory, sales tax, payroll, or a broad app stack; any business whose lender or CPA expects QuickBooks
Strengths:
Inventory on Plus and Advanced
Built-in sales tax and multi-currency
Native payroll and time tracking options
Large integration marketplace and near-universal accountant familiarity
Watch-Outs:
Price increases in each of the last several years
User caps by plan (3, 5, or 25)
Most advanced AI agents limited to Advanced
Multiple entities require separate subscriptions or Intuit Enterprise Suite
Who Should NOT Use QuickBooks Online: businesses with several entities that need consolidated reporting (look at Intuit Enterprise Suite), and very simple single-owner service businesses paying for Plus or Advanced features they never use.
AI Features (2026): Accounting, Payments, and Customer agents; Finance Agent on Advanced; Intuit Intelligence natural-language commands
Payroll: QuickBooks Payroll add-on, plus integrations with providers such as Gusto, ADP, and Paychex
Integrations: large app marketplace including Cin7, Shopify, and construction and field-service tools
Certum Take: QuickBooks Online is still the safest default for growing businesses with operational complexity. Most clients who feel squeezed by QuickBooks pricing are on the wrong plan, not the wrong platform.

Can You Switch from QuickBooks Online to Digits? What Moves and What Doesn't
Yes. Digits imports QuickBooks Online data during the initial setup of a new company, keeping historical records and categories intact and mapping QuickBooks classes and locations to Digits departments and locations. The import is a one-time pull: it doesn't change or sync back to your QuickBooks file, and it's available for U.S. accounts only.
Inventory records, sales tax settings, and multi-currency transactions have no direct home in Digits, which is why the fit check comes before the migration.
Before You Switch
Clean up and reconcile QuickBooks first, so errors don't migrate with you
Pick a clean cutover date, ideally the start of a month, quarter, or January 1
List every integration (payroll, payments, e-commerce, expense tools) and confirm each one connects to Digits
Export and archive key QuickBooks reports before you cancel
Clean up your QuickBooks file before you move →
How Certum Solutions Runs a QuickBooks-to-Digits Move
Certum Solutions runs platform migrations as a staged, fixed-fee engagement, so you know the cost of each stage before it starts.
Stage 1 — Fit and discovery: confirm Digits fits your operations and map integrations
Stage 2 — Cleanup and cutover plan: reconcile, correct, and set the cutover date
Stage 3 — Migration and parallel close: import, validate balances, and close the first month side by side
Stage 4 — Training and ongoing support: train your team, or hand the monthly books to our bookkeeping team
5 Mistakes to Avoid When Switching Accounting Platforms
Platform switches rarely fail because of the software. Platform switches fail because of these five decisions.
Migrating messy books: bad categorization and unreconciled accounts carry straight into the new ledger
Switching mid-quarter: split-quarter reporting complicates payroll filings and tax prep
Forgetting integrations: a disconnected payroll or payments feed creates silent gaps
Losing your history: cancelling QuickBooks before exporting reports, you'll need for taxes or lenders
Assuming AI means no review: automation drafts the books; a professional still needs to check them
What If You've Outgrown Both?
Businesses with multiple entities, intercompany transactions, or consolidated reporting needs usually outgrow both Digits and QuickBooks Online. Intuit Enterprise Suite is the next step for many of those companies, adding multi-entity accounting and deeper reporting on top of the QuickBooks foundation. Our Take as a Partner of Both Digits and Intuit
Certum Solutions recommends Digits to U.S. service businesses and startups that want automation and can live without inventory, sales tax, and multi-currency features. Certum Solutions recommends staying on QuickBooks Online, often on a better-matched plan, for businesses with operational complexity or a QuickBooks-dependent app stack. Neither answer is permanent; the right ledger changes as your business does.
"They are transparent and honest. Unlike other companies that will simply nod and say they can do it all, Certum will ensure that the client is aware of limitations or incompatibilities early on, further helping establish expectations before the project is afoot." — James Frey, IT Consulting Business Review
Digits vs QuickBooks Online FAQs
Is Digits better than QuickBooks Online?
Digits is better for U.S. service businesses and startups that want continuous AI bookkeeping and don't need inventory, sales tax, or multi-currency features. QuickBooks Online is better for businesses with inventory, sales tax obligations, foreign-currency billing, or a large app stack. The better platform depends on how your business operates, not on which one is newer.
How much does Digits cost compared to QuickBooks Online in 2026?
Digits starts at $65 per month for Essentials and $100 per month for Core, with no per-user fees on published plans. QuickBooks Online lists at $38 for Simple Start, $85 for Essentials, $140 for Plus, and $340 for Advanced per month after the August 2026 increase. Payroll and add-ons cost extra on both platforms.
Can Digits replace QuickBooks Online?
Digits can replace QuickBooks Online for businesses whose books are mostly bank, card, invoice, and bill activity in U.S. dollars. Digits launched its own general ledger in 2025, so it can serve as your official books. Digits cannot replace QuickBooks Online for businesses that need inventory tracking, sales tax, or multi-currency.
Does Digits do payroll?
Digits does not run payroll itself. Digits connects to outside payroll providers and brings payroll activity into the ledger. Businesses that want payroll inside their accounting system can use QuickBooks Payroll with QuickBooks Online, or connect a provider such as Paychex, Gusto, or ADP to either platform.
Does Digits track inventory?
Digits does not offer inventory tracking as of 2026. Businesses that track quantities, cost of goods by item, or warehouse stock should use QuickBooks Online Plus or Advanced, or pair QuickBooks with an inventory system such as Cin7.
Can I migrate from QuickBooks Online to Digits?
Yes. Digits imports QuickBooks Online history and categories during the initial setup of a new company, and it maps classes and locations to Digits departments and locations. The import is one-time and does not change your QuickBooks file. Cleaning up and reconciling QuickBooks before the import prevents errors from carrying over.
Will my accountant work in Digits?
Many accountants already work in Digits, and Digits offers dedicated tools and pricing for accounting firms. QuickBooks Online remains more familiar to most CPAs and lenders. Certum Solutions is a Digits Level III Certified Partner and a QuickBooks Elite Partner, so our team works in both.
Does QuickBooks Online have AI like Digits?
QuickBooks Online includes AI agents for accounting, payments, and customers, plus a Finance Agent on the Advanced plan. Digits runs AI categorization and reconciliation continuously on every plan. Digits built its ledger around AI, while QuickBooks added AI agents to an established ledger.
Can Digits handle multiple entities?
Digits offers multi-entity accounting on its top tier. QuickBooks Online requires a separate subscription for each company. Businesses that need consolidated reporting across several entities often move to Intuit Enterprise Suite instead.
